Short guides for getting around JobFlow. Lost? Press / anywhere to search jobs, customers, screens and these guides. Can't find your answer? Ask your manager, and tell them what was missing so we can add it.
For technicians (in the field, on the phone)
Finding your jobs on the phoneToday, Upcoming, Other jobs and Tasks.
- Open JobFlow and sign in. The Home screen has four sections: Today (jobs booked for you today), Upcoming, Other jobs and Tasks.
- Tap a job to open it.
- To get the latest, pull the screen down and let go. It also refreshes when you open the app or a new screen.
Tip: The Tasks tab shows a number when you have open tasks.
Travelling, clocking in and clocking outStart travel, clock in on site, clock out when you leave.
- Open the job. Press Navigate to open the address in Google Maps.
- Press Start Travel when you leave for the job. Travel time is recorded against the job you are going to.
- When you arrive, press Clock In. If a prestart or SWMS form is required first, you will be asked to complete it, then you can clock in.
- When you finish or leave, press Clock Out.
Tip: Do not leave gaps in your day. Clock out of one job and straight into the next (or start travel).
Prestart and SWMS formsThe safety forms you sign before clocking in on some jobs.
- If the job needs one, JobFlow shows the form when you press Clock In.
- Read it, fill in any questions, and sign.
- The first person on site each day fills in the prestart answers. Everyone else on the job signs it.
Adding notes and photos to a jobRecord what you found and what you did.
- Open the job and scroll to Notes: type in the box and press Add note.
- For photos press Take photo, or Choose from library for one already on your phone.
- Photos and notes are saved on the job for the office to see.
Tip: No signal? They are kept on your phone and sent when you are back in range. Check the 'All synced' line on the Me tab.
Raising a purchase order (PO) for materialsBuy materials against a job and keep the cost on it.
- Open the job and find Supplies.
- Choose the supplier, add a short description, and the amount if you know it. Leave the amount blank if it is not yet known.
- Raise PO. You get a PO number to give the supplier. The office adds the invoice cost later.
Completion report and marking works completeFinish a job properly.
- On the job, fill in the Completion Report: what work you did, and any other questions shown.
- Press Submit completion report.
- Then press Mark Works Complete. If a completion report is required for this job, it must be submitted first.
Tip: You can mark works complete even if you are still clocked in. Remember to clock out as well.
Working without signalWhat still works with no reception, and when it catches up.
- Clocking in and out, photos and notes keep working with no signal and are sent later.
- The Me tab shows 'All synced' when everything has gone through, or how many items are waiting.
- Go somewhere with signal and open the app. It sends the waiting items itself.

- Use the arrow keys and Enter, or just click a result.

- Click a row to open it and see each day: the sessions, the hours, and how they split into standard and overtime rates.
- A red Fair Work badge marks a possible problem such as less than 10 hours rest, a gap between jobs in a day, or more than 12 hours in a day. Tell your manager if a time is wrong.
For the office (Managers and Admins)
Creating and sending a quoteBuild a quote, choose who it is addressed to, and send it.
- Open Quotes and create a new one. Choose the customer and site.
- Add line items. Use Load from defaults for standard items. Materials can have markup, unless the customer's markup is locked.
- Under Show on quote, tick which customer levels print on the document: billing customer, account and site. All are shown unless you untick them.
- Download the quote document (Word or PDF) to send to the customer. When you hear back, mark the quote Won (this creates the job for you, with the quote attached) or Lost.
Job budgets, client defaults, and winning variation quotesWhere a job's budget comes from, and what happens when a variation quote is won.
- A job's budget is the agreed price. Each client can have a standard budget (for example every Transgrid job is $1,000): open the Customer (or its Account) and set it under Job defaults. A new job for that client starts with it. If the PO states a different amount, use that instead.
- If no standard budget is set and the PO states no amount, the budget starts at $0.
- After that, a budget only changes when a quote is won (the quoted amount becomes the budget), or when a Manager or Admin corrects it: on the job, press Change next to Budgeted and give a reason. Corrections are recorded as a note on the job.
- Winning a variation quote: choose Add it to the existing job (its budget goes up by the quote total) or Make a new job with just this quote (add the client's new PO to the new job). The original job is NOT closed automatically: a note is added to both jobs so costs to date can be captured and invoiced before someone closes it. Some clients issue a new PO for a variation; others want it added.
- Each client can have a usual choice (Customer, then Job defaults). If there isn't one, or you choose something different, Operations are given a task to confirm it. Technicians and department heads can win their own quotes; the confirmation is just a check.
Customers, accounts and sitesHow customers are organised.
- A billing customer is who gets the invoice. Under it can be accounts (for example a regional division), and sites (the places we work).
- Open Customers and click one to see its accounts, sites and jobs.
- Add a site under the right customer or account so jobs and quotes pick it up.
Suppliers, purchase orders and invoicing (Accounts)The Accounts tab.
- Suppliers: everyone can look up a supplier. Managers and Admins add and edit them.
- POs: the list of open purchase orders.
- Invoicing (Admin only): the queue of jobs ready to invoice, and export to Xero.
